Avatars
Avatar Pictures: You may upload any JPEG, PNG or GIF file that is no larger than 1MB. Within the iOS app you may upload an image that is larger than 1MB because it will be compressed automatically. Avatar Initials: If you do not upload a picture for your avatar, the initials of your first and last name will be displayed. You may edit those initials. If you’d like, you can also use special characters, like unicode characters.
Character Limits
- Project Title: 100 characters
- Project Description: 100,000 characters
- Comment: 500 characters
Formatting Comments
Bold, Italic and Underlined Characters: Use the Markdown standard. For instance, you can use **make sure you do this by Friday** to create make sure you do this by Friday. Please note that you cannot preview the markdowns.
Notifications
Email Notifications: Want to control when you get email notifications from Biztera? Click on your avatar at the top of the screen and select Preferences from the menu. You’ll find a detailed matrix of settings to control when you get emails depending on what your role is in a given project tab. Be sure to click the Save button to activate your changes.
Viewing Projects
User Roles
User roles define what a user can see and do in a given project tab. You can also control how many email notifications you get about project activity depending on what your role is.
- Project Owner submitted the project. This role will apply to all tabs in the project.
- Moderator monitors, edits and assigns the tab.
- Approver approves or denies the request in the Finance tab.
- Assignee updates the status of the PO, Legal or Security tab.
- Viewer views and comments on the tab.
Moderators can edit information, make comments, and add/delete attachments in a project.
Access to Projects
Project Visibility: In general, projects are private between the project owner, moderator(s) and approver/assignee(s). Usually a moderator or approver/assignee can only see the specific tab applicable to them (Finance, Legal, etc.).
Inviting Someone to a Project: There are two ways to add someone as a viewer on a tab:
- Tag someone in a comment inside the tab (type @ to bring up a list of members).
- Click the N members link in the tab. Then click Add Member and select someone from the menu.
Project Statuses
Project Statuses Defined:
- None (Draft) The project intake form partially filled out and saved but not yet submitted (only visible to the project owner)
- In Progress The project form fully completed, pre-approved by Marketing if necessary, and submitted to all relevant channels.
- Passed All channels completed and set to green statuses.
- Failed Any channel set to a red status.

Filters and Search
Searching For a Project: You can search projects using text in the title, description, details or activity in any tab. The project number is also searchable.
Managing Your List
Removing Old Projects: Archive projects from your list if you find it getting cluttered. Open a project and use the Archive button to hide it from your view.
Project Workflow
Drafts and Clones
Saving a Draft: You must click the Save Draft button if you want to save your changes. There is currently no auto-save feature.
Modifying Projects
Project owner can edit the title, description and most details of the project at any time. Decisions in tabs affected by your changes will be reset, and approvers/assignees will be asked to look at your project again.
Attachments
Uploading files: You can upload any file as long as it is not larger than 10MB.
Purchase Orders
Creating PO’s
Creating a Purchase Order in CASA: If you are the Assignee or a Moderator in the PO tab of a project, you will see a New Purchase Order button.
Processing PO’s
Purchase Order Visibility: The project owner and any other users with permission to see the PO tab in a project will also have access to the purchase order detail page.
Tracking PO’s
PO Statuses:
- Draft The PO intake form is partially filled out and saved but not yet submitted (only visible to the PO Owner).
- Pending Approval The PO form is fully completed and submitted to be approved.
- Approved The PO Approver has approved.
- Closed The total amount of the PO has been spent.
